Job Details:
Reporting to the UK Financial Controller and working as an integral part of the Support Services team of 5 you will provide an efficient and professional reception service. Based at our VIP facility at London Biggin Hill you will answer telephone calls politely and efficiently, meet and greet the Company’s clients and visitors as well as providing general office administrative support.

Required Skills:

Telephone System:
  • Answer calls politely and efficiently.
  • Ascertain required destination of call, screening where necessary.
  • Transferring calls or taking a clear message and contact details.
  • Update telephone list and circulate.
  • Manage call answering system for the company (liaise with IT to organise direct dial and call answering circuits, organise new extensions etc. as required).
  • Ensure that cover is arranged for any period away from the reception desk and phones are covered.
Front of House Reception Service:
  • Meet and greet the Company’s clients and visitors. Deal with all visitors promptly and in a courteous manner and provide refreshments as necessary.
  • Liaise with the Security Gatehouse and FBO staff as and when required.
  • Provide all visitors with a pass and keep a detailed visitors’ Log.
  • Ensure reception is well organised with easy access to useful information.
  • Ensure a procedures manual for all aspects of the role is in place.
  • Ensure that the reception area is exceptionally clean and tidy.
  • Assist in looking after FBO lounge and mezzanine. Provide cover to concierge during peak periods or holiday cover.
  • Book cabs/hotels on behalf of staff/management. Ensure appropriately authorised.
Office Administration:
  • Manage post system (post out and post in). Update franking machine. Manage opening, dating and distribution of post to the relevant departments.
  • Order stationary and paper for the company (including letter headed paper, compliment slips and business cards). Ensure appropriately authorised.
  • Photocopiers - liaise with Apogee to resolve any issues. Keep track of photocopier locations and usage.
  • Tenants - be first point of contact for any tenant issues. Resolve through liaising with facilities, finance, Hanger Manager, management as appropriate.
  • Order general supplies for the building including (but not restricted to) FBO/MRO/tenant sundry catering or office supplies.
  • Generally assist with the smooth running and administration of the building including providing administrative support to management, staff and tenants under the direction of the Financial Controller.
  • Health and Safety - follow any health and safety procedures or instructions as directed by the Facilities Manager.
  • Order sundry items as requested - ensure PO raised and appropriately authorised.
Kitchen Supplies/Catering/Refreshments:
  • Ensure kitchens are stocked with tea/coffee/milk and cleaning supplies (FBO and MRO staff kitchens).
  • Organise tea/coffee/catering for tenants, customers or management as required. Ensure any appropriate recharges are raised through accounts.
  • If a meeting room is hired out, organise catering, refreshments, prepare rooms as required.
  • Ensure we have a catering contact that can accommodate lunch requests.
  • Assist in organising company staff social events (e.g. Christmas party).
Essential Attributes:
  • Ability to communicate at all levels.
  • A polite and friendly manner with an excellent telephone voice.
  • Strong efficiency and punctuality.
  • A working knowledge of Microsoft Office.
  • Excellent organisation and administration skills.
  • Previous proven reception experience, ideally in a hospitality environment.
  • Excellent customer service skills.
  • A flexible attitude to ensure 100% reception cover via the Reception Shift Team.
